Use case / Education
Parents ask at nine at night, not during office hours.
When registration closes. What the total fee covers. Which documents to bring. Whether there is a sibling discount. Admissions questions arrive in the evening and on weekends, which is exactly when nobody is in the office to answer them.
Why the timing matters
Families compare schools in the evening, after work and after dinner. A question that goes unanswered until Monday is a question that has already been answered by another school. Admissions teams also lose real hours to repetition: the same twenty questions, asked by two hundred different families, with answers that have not changed since the brochure was printed.
What to upload
Use the document you already send to prospective families, or the syllabus you already hand to enrolled students.
- Admissions brochure with fees and schedule
- Course syllabus and weekly outline
- Registration requirements and document checklist
- Term calendar with holidays and exam dates
What families can ask it
You can run separate chatbots for separate audiences: one on the syllabus for enrolled students, one on the brochure for prospective families.
- When does registration for the next intake close?
- What does the tuition fee include, and what is charged separately?
- Which documents do I need to bring to register?
- What is covered in week three of the course?
- Are there payment instalments or a sibling discount?
- What time does the school day start and end?
Where to put the link
Where families already look for you, so nobody has to install anything.
- The admissions page of your school website
- Instagram bio during the admissions period
- The parent messaging group, pinned
- A QR code on printed flyers and at open-house tables
Be clear about the limits
- It cannot process a registration or take payment. It answers questions; enrolling still happens through your existing process.
- It does not know a specific student's grades, attendance, or status, and should not be presented as if it does.
- Upload a revised document when fees or dates change, otherwise it will keep quoting last year's figures.
- For a syllabus chatbot shared with students, remember the link is public to anyone who has it.
Try it with your own document.
Upload one file and you get a working chatbot on a public link. The free tier covers one chatbot, so you can see the answers before deciding anything.
