The guest book is in the drawer. The questions come by message.

What time is check-out. Is breakfast included. How do I get to the beach. Can I use the kitchen. Where is the nearest pharmacy. You wrote all of it into a guest information book, and almost nobody opens it. They message you instead, often late at night and often in a language you do not speak.

Why the guest book does not work

A printed guest book is in one room and in one language. Guests on their phones would rather ask than read, and for a small villa or guesthouse with no front desk at night, every one of those questions reaches the owner directly. The same answers get typed again for every booking, and a slow reply to a lost guest at the gate is exactly what ends up in a review.

What to upload

Upload your guest information book as it is. Photos of the rooms, the entrance, or the route from the road can be shown when a guest asks how to find something.

Where to put the link

Send it before arrival, and leave it where guests will see it once they are there.

  • In the pre-arrival message on your booking platform
  • In your WhatsApp welcome message
  • A QR code framed in each room and at the entrance
  • Your Instagram bio and Google Business Profile

Be clear about the limits

  • It cannot check room availability or take a booking. It can point guests to your booking link or WhatsApp if you add one.
  • Anyone with the link can read the answers, so think twice before including the Wi-Fi password, door codes, or lockbox numbers.
  • It answers from your document, not from live information, so it will not know about a road closure or a facility under repair unless you update the file.
  • Keep personal details of other guests out of anything you upload.
