Two hundred guests, and each one asks you directly.

What time does it start. Where exactly is the venue. Is there parking. What should I wear. Can I bring my children. In the week before an event, these messages arrive from every direction, and the person answering them is usually the one who should be doing everything else.

Why it lands on the wrong person

Guests ask whoever they know, so the questions go to the couple, the host, or the organiser rather than to anyone with time to answer. The answers are already in the rundown and the invitation, but a guest who lost the invitation, or who is driving to the venue and cannot remember the gate, will message rather than search. Multiply that by every guest and it becomes a day of interruptions.

What to upload

Use the information you already prepared for guests. A venue map or a photo of the entrance inside the PDF can be shown when someone asks how to find it.

  • The guest-facing rundown and schedule
  • Venue details, directions, and a map or entrance photo
  • Dress code, parking, and accessibility notes
  • Frequently asked questions from the invitation website

What guests can ask it

For a conference, the same approach works with the agenda: speakers, rooms, and session times.

  • What time should I arrive, and when does the reception start?
  • Which entrance do I use, and where is the parking?
  • Is there a dress code?
  • Are children welcome?
  • Which room is the afternoon session on payments in?
  • Is the venue accessible by wheelchair?

Where to put the link

Put it wherever guests already look for the details.

  • On the digital invitation, below the RSVP link
  • In the guest WhatsApp group, pinned
  • A QR code on printed invitations and on signage at the venue
  • On the event or registration page for conferences

Be clear about the limits

  • It cannot record an RSVP or take a registration. Those still go through your existing form.
  • Anyone with the link can read the answers, so leave guest lists, home addresses, and seating plans out of the document.
  • If the schedule changes, upload the new rundown. Guests will be told whatever the current document says.
  • Unpublish the chatbot after the event so an old link does not keep answering with outdated details.
